SOLUTION CONCEPT 05 / EMPLOYEE EXPERIENCE
A working life
without the paperwork maze
Joining, changing role and leaving all involve the same scattered forms and chasing. People is a concept for making those moments clear for everyone involved.
Adaptable solution concept. This is a starting point we shape with you, not a product available to buy or licence.
THE CONCEPT
What Brightlane People
actually is.
A solution concept for workforce workflows and internal operations across the whole employee lifecycle, from joining to moving on.
Brightlane People is a concept we adapt to your organization, not a workforce product available for purchase. It describes how the employee lifecycle could be coordinated, from joining and settling in through to changing role and leaving well. What gets built depends on your structure, your obligations and the internal processes you already run. Treat the modules below as options to discuss rather than features waiting to be switched on.
COMMON CHALLENGES IT ANSWERS
- A new starter's first week depends on six separate requests nobody is coordinating
- Internal requests arrive by email and are tracked in someone's personal list
- Employee details are held in several systems and updated in some but not others
- Managers do not know which steps are theirs until something is already late
- Leavers keep access to systems because no single checklist ends their accounts
INTENDED USERS
Who it is
designed for.
People and HR teams
Small teams carrying a lot of process, who spend more time chasing forms than supporting colleagues.
Managers with teams
Line managers handling onboarding, requests and reviews alongside their actual job.
Multi-site and shift operations
Organizations where staffing, availability and internal requests cross locations and shift patterns.
POTENTIAL MODULES
The pieces it
could be built from.
Modules are starting points. An engagement usually begins with two or three of them and adds the rest only if they earn their place.
MODULES
- Joining and onboarding. A coordinated set of steps so equipment, access and introductions happen before day one.
- Employee record. One record for roles, reporting lines and the details other processes rely on.
- Internal requests. Structured requests for leave, equipment or changes, with visible progress.
- Manager tools. Clear views of what a manager owes their team and what is waiting on them.
- Reviews and development. Light structure for check-ins, objectives and development conversations.
- Role changes and leaving. Checklists for moves and exits, including access that needs to be closed.
CUSTOMISATION
- Lifecycle steps built around your own policies and the way your organization really hires
- Request types and approval chains matched to your structure, not a generic hierarchy
- Careful handling of sensitive employee information, agreed with you before anything is designed
- A scope that can start with one moment, such as onboarding, before covering the rest
INTEGRATION CONSIDERATIONS
- Identity and single sign-on
- Human resources systems
- Payroll systems
- Email and calendar
- Document and file storage
- Notification and chat tools
Categories of system, not named products. What connects depends on what you already run.
EXAMPLE USE CASE
How this could work
in practice.
Representative scenario, illustrative, not a verified client project
A new starter who is ready on day one
THE SITUATION
A growing company onboards new staff through an email checklist held by one person. Equipment sometimes arrives late and system access is often set up in the second week.
THE SHAPE OF THE WORK
A shaped version of People could trigger a joining plan when a start date is confirmed, assign each task to an owner, and show progress to the hiring manager.
WHAT THE TEAM COULD THEN DO
The team could then see what is outstanding before a start date, give new joiners a clearer first week, and spot which steps repeatedly run late.
EXAMPLE WORKFLOW
Walk the employee journey
We follow joining, changing and leaving as a colleague experiences them, not as the policy describes them.
Agree what is sensitive
We decide early which information is restricted and who may see it, before any screen is designed.
Design the moments
We design the handful of moments that matter most, usually starting with joining and internal requests.
Build and connect
We build the agreed workflows and connect the people, payroll or identity systems already in use.
Extend carefully
We add further parts of the lifecycle once the first ones are working well in practice.
QUESTIONS
Questions about
this concept.
No. It is a solution concept rather than software with pricing or a license. We adapt the thinking and build something specific to your organization.
Usually not. It is more often designed to coordinate the workflows around those systems and read from them, so details are not maintained twice.
Access rules are part of the design, not an afterthought. We agree what each role can see, and keep restricted information out of general views and reports.
